Verification readiness: the document checklist verifiers actually work from

A verification is an audit of twelve months of paper. The evidence checklist verifiers work from — and how to have every item ready.

A verification is not an exam you pass on the day — it's an audit of twelve months of paper. Verifiers walk in with a checklist; the companies that breeze through are the ones that prepared the same way. Here's that checklist.

Company-level evidence

  • CIPC registration documents and share register
  • Share certificates and ID documents for all shareholders
  • Audited or independently reviewed financial statements or AFS for the measurement period
  • Proof of turnover (to confirm enterprise classification)

Element-level evidence

  • Ownership: trust deeds, transaction agreements, funding records, CIPC records matching the register
  • Management: employment equity plan and report, EE submissions, organograms, employment contracts for measured managers
  • Skills: learnership agreements, SETA registration certificates, invoices, attendance registers, payroll reconciliations
  • ES&SD: supplier B-BBEE certificates valid per invoice date, invoice and spend analysis, beneficiary agreements and delivery evidence
  • SED: beneficiary proof (NPO registration or SARS PBO letter), contribution evidence, benefit tracking

The three weeks-before rule

Three weeks out, assemble the entire bundle into a single indexed pack. Any document you can't produce on request is a point you haven't scored. Gaps discovered three weeks out can still be fixed; gaps discovered in the verification room cannot.

Verifiers reward what's provable, not what's true. Build the bundle alongside the activity, not after it.

Make it repeatable

A document checklist tied to each scorecard element — with upload, AI-verification of completeness and expiry tracking — turns audit readiness from a scramble into a standing state. That's precisely what a verification bundle module is for: your evidence, organised the way an auditor asks for it.

Official B-BBEE certificates must be issued by a SANAS-accredited or IRBA-approved verification agency. Indicative scores are based on the Amended Codes of Good Practice (Gazette 36928, as amended); sector codes may differ.
